Unit 4: Managing an event Assignment 3

In this assignment I will be introducing the event management for the Summer’s Euro
Championship 2020 and how they have handled themselves in this rising pandemic of Covid19
...
I will be talking about the experience, teamwork and the overall profits
we have made from this event followed by a justification and conclusion
...
For example, business plan, aims and objectives etc
...
g
...

Furthermore, explain the specific management skills that you would demonstrate in this
situation too
...
The Postponement from Friday 11 June to 11th July 2021 is the planned
postponement
...
The FIFA president did repeatedly stress on the public comments that the
recognition of public health is far more urgent priority than the Euro 2020
...
3 donation for the WHO for Covid 19 pandemic
...
I would have to join in the meeting with the other organisers and
representatives of the national football governing of the clubs, leagues, and the players
across the continent in order to plot their responses to the Covid 19 crisis
...
Therefore, another objective for the
maintenance is for the fans who have bought the existing tickets for the Euro 2020 will be

1

lOMoAR cPSD| 3013804

ensured to attend in Euro 2021 if not, then their tickets and the packages they have bought
will be refunded in full within the next month
...
This skill is something important in this
type of situations as I am connecting with high level executives, representatives, players, and
other staff members
...
Therefore, I believe the skill is important as building relationships is key for
working in this role
...
Every word
is key what they are stating in the meetings about the Euro 2020 and how to counter Covid
19
...

Therefore, me tapping into these spoken and unspoken words is key for my planning process
as it will make sure I am one step ahead
...
Due to the emergency
we face in this pandemic it is important to be resourceful with that I have
...
I will be facing many challenges and so therefore I need to be able to be calm
and solve
...
A step by step objective list is perfect as it works very well
...
This includes
the women’s and under 21s teams too
...
I make sure to write out a
simple list of what I need to ask and key information to share
...
So therefore, planning is very important
for this type of situation

Communication skills from talking to people is key for engaging ideas and building a
relationship
...

Organisational skills come in very handy especially when it helps using forms and
spreadsheets
...
This helps great preparation for the event
...
This is huge moment of stress and the last thing I want is me making poor decisions
and cracking under the pressure of all this
...
So, me staying cool and calm is what I need
to be able to do in this huge pandemic
...
This is
due to the huge pressure that comes
...
It will also affect the mood which is
crucial for communication skills
...
Managing stress is vital for being efficient at this role
...
If the event can be postponed what would you need to put
into place for the customer?
Review the success of the event in meeting aims and objectives, achieving targets and
receiving good feedback from stakeholders
...

therefore, it is best to start a dialog with the customer
...
The uncertainty of the global crisis
causes a lot of uncertainty so therefore it is important communication is there with the
customer as it can show the customer that the business is handling well and will keep the
customer happy and calm
...

Being transparent with customers is vital for them to turn loyal to the business after this
pandemic
...
It is best to not hide anything from customer and not lie to them if
something does not go right
...

Due to this pandemic a lot of customer will be in worry at all time so minding tone in
communication is important
...
The customer
want leadership and they want to believe the staff, so it is important to be authentic and
empathetic, especially in this situation
...
Making the customer feel like they are in
a better place is important
...
Recognising

4

lOMoAR cPSD| 3013804

that stress that comes with customers will make sure to make them feel better and trust
more
...
they
can fill out a survey stating how the service was from the staff
...
This would be a
good system that could be placed in order to review how well the customer service is going
on the happiness of the customer
...
This can mean not price up services or products which can really eb unfair to
customers
...
We do have learn about customer
satisfaction and show empathy so just listening to them does a great job in making them
stay for long term
...
M5: Analyse the planning and running of the event, how risks and contingencies were
managed, making recommendations for future improvements
...
It was planned and set
...
On that day of the
event I was the first one to arrive
...
They were
a bit late due to the traffic
...
One of the
workers of Costa Coffee delivered the cakes around 9Am and we had good enough time
to be cutting them and make a nice display of the cakes
...
I had an idea of placing two tables near the entrance and
place cakes on them so people can see it easily and be delighted to come
...

9:30 am is when people started to show up and they were very interested in the caked
and the coffee and tea which was offered
...
Two of the focused
on the money keeping, therefore, another teammate was recording all the sales that we
were making
...
We knew around 1 pm that we will not sell all the cakes as our classmates
did not turn up to support us
...
Therefore, not selling all these cakes means we are making a loss and it was time
to move on to the contingency plan for a situation like this
...
This is where is used
my selling skills which successfully worked, and all the cakes were sold and we were

6

lOMoAR cPSD| 3013804

getting a lot of money
...

The rest of the team who did not come with us to sell the cakes had already cleaned up
very well and placed everything back to its place
...
It is
important to keep the staff happy to show that we have responsibility
...
One of the staff took only £5 for the
drinks and it was much less than what we first arranged
...
When we left the venue the only thing which was needed
was to count the money and then therefore send it to Macmillan
...
Our event finally, was a huge success as we not only surpassed the
money goal but also made out stakeholders satisfied
...
Akoto of staff were very
happy to contribute even when thy did not want to contribute
...

Before and during our long event we did make sure to make a dynamic risk assessment such
as looking for trip hazards in order to make sure there is not any hazard in the venue and its
perfectly safe for the public
...
Safe to say there was not one single
accident which shows that we did take safety very seriously
...
D3: Justify how own contribution has contributed to the successful outcome of the
event by the demonstration of outstanding management skills throughout the arranging
and staging of an event
...
I did use my
direct selling skills which I have learnt from being an assistant at British heart
foundation
...
I did make sure to talk about Macmillan when selling it to the people
and made sure they are donation is helping the charity
...
Without the contribution and direct skills, I have used I do not
think this success would have arrived in this event
...
However, we did print out a lot of poster and leaflets and we
did manage to post it around the college for the students and the staff members but for
online marketing we did not do much
...
We did have Costa Coffee to tweet our event in their own
twitter account, but it was only 30 mins before the actual event
...
therefore,
health and safety is also number one priority for us
...
For that I
did ask the staff in advance what ingredients there are, and she did mention there are no
nuts in, but the cakes have milk, so it was not suitable for lactose intolerant people
...

Conclusion
In conclusion, we sold 19 hot drinks and sold out all the cakes and made 4 biscuit sales
...
All for our customers were every satisfies
by our honest service for the noble cause
...
Therefore, there were no incidents when running the
whole event
...
Below is the
poster used for the cake sale which was posted around college
