Unit 4: Managing an Event Assignment 2
C4/B
...
I will be talking about the key factors,
research and planning, resources, and the risk assessments of my own half a day event which I will be setting up
with a conclusion in the end
...
It does take place in a different country
all the time
...
In order to hose these
games successfully there was a lot of redevelopment needed which
was essential as it requires for a brand- new building opening with
200-hectare Olympic Park within the East London while using
other venues too
...
For the Olympics to be successful it was congested by several factors
...
On the other hand, the environment was perfect for the athletes as it helped them with their performance
...
Therefore, it was also
the amazing marketing team which has a huge role in the success of
1
this event
...
The marketing had been
consisted of the top companies with world class providers of services and funding with top people with a lot of
expertise
...
This included the merchandising of the
programme too which was broadcasted in all major channels which has included amazing sponsorships while
having different licensing programmes
...
Health and Safety was one of the most important factors to look at as it really contributed to the success of this
event
...
It was a priority
...
There were around all together 40,000 people who worked in this event
...
The London Olympics in 2012 was a huge success as it gave amazing reactions around the world as it celebrated
the volunteers, the British military who have made it happen smoothly and the public enthusiasts
...
The success of this Olympics has been marked in history as a great national
celebration
...
Therefore, the London Olympics in 2012 had
been a financial success as it boosted the UK economy with £10bn
...
Just the name of the phone iPhone X
contributed to the excitement of the product
...
Apple skipped the iPhone 9 and bought the consumer the iPhone X as it showed
2
that they skipped 2 years to bring the phone from future
...
Due to its marketing strategy it didn't show that
£1000 was worth it
...
Apple did their product launch for this in a new location as they built a new glass theatre in Cupertino and have
named it after the founder of Apple
...
This helped as it created a feeling for the
consumer pf something brand new and never seen before which has made this event a big upcoming
excitement
...
Another strategy Apple has emitted was the old tease of teaser leaks within the media
...
Thousands of videos and posts were
released on social media before the actual launch
...
iPhone X launch was the biggest in the Apple product launch in history
...
It was a huge success and it sold 25% more than the previous record holder which was iPhone 6
even when the price was £1000
...
Therefore, in that programme I
had to help my group to organise a social event
...
In the first stage of organising the event
it was first deciding who to assign for the small roles to build up for the event
...
Like for example some people were very good at drawing, so we gave them the
responsibility of the visual side of marketing so this meant like the posters and social media
...
So, they're job was to find sponsors
...
We did a lot of research
for the perfect local venue which is suitable with the budget we have and the needs we are looking for
...
Due to being all for charity we
had limited budget
...
We did
have a target of
£500
...
Therefore, aster it being secured, the team then split the workload into different tasks and some who were better at
communication were responsible for the calls, getting sponsors and the performances
...
For the other factor for our success of the event was he budget control
...
We made sure to not go over the budget and the investments which were made were
profitable
...
There was also a lot of
food and refreshments as we got most offered as donations from shops
...
We raised £200 for the local community and £1000 for the Young Mind
Charity
...
It was a huge success
and we met a lot of new people and had a great time altogether creating an event like this
...
Common success factors for an event to be successful
Venue location
The three giving examples that have been clearly stated how important it is for a great venue location to determine
the success of an event
...
For the mental health charity event, it was
very important for us to find a great venue in order to host 100 people, but it had to be near the town centre which
the people can find it easier
...
Budgeting
It was important to calculate the costs for the product or the event
...
For example, the London Olympics 2012 was a calculated budget of £9
...
77bn
...
This clearly shows that the organisers were very
effective with budgetary control and made sure to reduce costs as much as possible
...
Also, when I organised by charity event, I did also calculate all the costs and thereby split
them by the number of people in my group so each one di a contribution and did themselves a budgetary planned
control
...
Partnership and sponsorship
This is very important for a successful event and for a good marketing campaign
...
Just like how Apple paid Facebook to advertise their products to potential customers in their
media
...
Planning is important as it can make sure
everything can run smoothly and if anything does go wrong, there is always plan B to go for
...
Apple for instance did very careful
research on how everything should be laid out
...
When we were planning the event the planning phrase was very important in order to be close to success as
possible
...
Communication is key as if nit done properly then people will be misunderstood about the event
...
When I organised my event, I made sure to have goof
communication with the venue owner in order to stay connected with him and understand what our plans are up to
date
...
4/B
...
This was the best odds to be feasible
...
However, there hasn't be any more events in the past lately, so this was
perfect opportunity for us to launch a campaign in the college campus as aimed here to raise money for charity
...
Costa is a Franchise and the college owns the
premises and they rent it
...
It was discussed with the manager of the Costa
6
franchise in the college campus in a meeting with my team
...
Our team also did
have each other's number so we can keep in contact frequently between each other and update
...
This would be a successful event we knew from start as we were
confident from not only our teamworking skills but other skills such as marketing skills my team had and
communication skills
...
So, it was an easily
accessible venue
...
Therefore, the North Warwick students and teachers will be easily exposed to the posters and advertisements we
have created
...
My Facebook ads knowledge
was perfect for creating adverts to only be focused in the Nuneaton target audience to come and join the coffee
morning charity event
...
The main priority was to get as much exposure as possible
...
This is because everyone from my group did contribute £5
which we used to buy some of the products
...
After doing good research with the team, we went for the Macmillan
charity support because they have a good reputation and help in a noble cause
...
4/C
...
We did look at several
places that we can offer coffee morning including the Costa in North Warwick College and some other venue
located in the town centre
...
The reason why we decided to not place the event in town centre because then it
requires quite a distance to walk which we can lose exposure too compared to placing it in college
...
There are
more than 3,000 students attending this college and around 700 staff members
...
For the traditional method we went for posters
with the help of the whole team and distributed and posted them all around the college
...
Targeting in all these channels was the best way to get the bets
exposure
...
This is
all due to because it's completely free to run it
...
However, the only concern we have is to calculate how much we should charge the people to make a good
profit as if we don't then the event will not turn out great
...
This can help with the organisation as everyone can be
responsible for certain few tasks and if something is incomplete, we can chase it up
...
Resources
Coffee morning which was our event we needed milk, coffee and cakes with a coffee machine too
...
Date and time
When deciding when to do this event we considered the best time when most people attend the college
...
So, this will give us half a day to work on
...
When some students are in lessons at this
time, they will also receive a break and lunch break and they can easily come to us and we can provide them the
service, so it is a win-win for both
...
4/C
...
This shows a timetable of the event proposal:
Time
8:30am
Action
Meeting before the opening
9
Details
The reason why we met up
an hour before was to set
up everything and make sure
everything is running smooth
...
We
will be receiving the cakes from the
lady in costa, so we need to be able
to cut them and set
napkins, cutlery and plates
...
2:00pm
Door closing
This is the time where the
event ends but we will still be there
to serve customers who are still there
so we will be open for another few
minutes
...
This is a great moral practice
in my opinion because then if we
ever need to use this venue
again, they will be more than
happy for us to
use it
...
This is important because if something goes wrong then there is a way to continue
the event as normal
...
On
the other hand, there would be another possibility of not selling all the cakes on the actual coffee morning event
...
Therefore, if this occurs then we will
do a cake sale right by the entrance or the reception of the North Warwick and sell it to the rest of the people
walking by
...
These two options will ensure that we have sold
all the cakes and make as much profit as we can push to make in order to not make any cakes left behind
...
Hazard
Itnife cuts, Slips on certain To take control on this, make sure to ensure that all the
liquid or broken cutlery
Fire breakout injury
7/4/2020
breakages are cleaned up and threw away safely in a bin, so no members
of the public is hurt
...
Knives when used should be handled with care and cakes
are not allowed to be cut by the public
...
Fire systems and alarms are all maintained by the college
...
Burns from the hot
Make sure that the devices such as the kettles and the
coffee or the coffee
coffee machines are being correctly used and handled with upmost care
...
However, appropriate tools must be used
Allergic Reactions
instead when handling food
...

4/B
...
Therefore, the only “budget
we actually have put in is the £5 contribution to the event
...
Costa will provide the coffee machine,
coffee, cakes etc to us which we will pay back all together after the event
...
This shows a 1000/oprofit margin
...
4/BC
...
The best thing about this is that to run this event there was no investment needed
...
It's simple yet so affective and with a great potential and does give us great exposure to the college which can result
in many people seeing our adverts and turning up
...
It shows to be a classic event which in the end is a noble cause
...
For the cakes, we are paying £30 for four of
the cakes
and with that 16 slices each
...
50 and the profit for
14
per cake is 16 X 1
...
50
...
Conclusion
This overall means, after selling all the 4 cakes we will make £66 and if the customers decide to get coffee with it will
then hit out target which is £100 with very ease
...
The
flexibility of this event is clear and is justify the great profitability of the Coffee Morning
...
The biggest reason why I have chosen to do this type of event is because it cannot fail
...
Therefore, I then developed a detailed event plan which does include the
main factors which are considered when running an event like this which is sorted out by contingency plan, risk
assessments and feasibility of the event
...
Therefore, if there are any customers who are wanting to
come from outside of college, there is also car park provided
