Unit 26: Managing Business Information

P1: Describe the characteristics of the information needed in a selected organisation
In this task, I will be explaining how Tesco collects, uses and stores customer data and show
the different types of data that Tesco uses
...
The first way is the Tesco
Clubcard, as when customers register the card, they have to put their name, email, address,
phone number, etc
...
The second way is
through online shopping, as you may login to your account (using registration which
includes name, email, phone number, postcode) and you would also use your clubcard, and
you may also save your payment information, and would also input your delivery address if
you want them to deliver to you
...
They may also collect personal data when you
download the Tesco app, as similar to online shopping, they may have your name, address,
etc
...

As stated above, Tesco would use this information to keep track of your shopping
preferences, and also to see what the public wants as a whole, because if they see that the
public is buying a specific product, then they would continue to stock this product, however,
if they see that loyal customers aren’t buying a product, and this is a pattern throughout all
the customers, then they may withdraw the product, as they would see it’s not worth
stocking
...
So for example, if you use your
clubcard when you go into a Tesco petrol station, then you may then get an email from
Tesco Insurance asking if you want car insurance, so therefore, Tesco as an organisation
can then retain you as a customer
...
They also use customer information to see what customers would like in stores, as
they would continue to stock the products that customers like, so therefore the customers
would continue to repeat purchase and Tesco retain loyal customers
...
This makes sense in terms of processing orders, as it
is more convenient for the customers, as they wouldn’t need to enter all their information all
the time, and therefore makes the shopping process much easier for them as a result
...
Firstly, Tesco would
collect primary or first hand data which is the most up to date form of information
...

Secondary data may be collected from other sources, such as from what customers are
saying about Tesco, such as news publications, social media, etc
...

The quantitative data that Tesco may collect is stats from what customers are buying, such
as stock, so Tesco may see what customers are buying in terms of numbers, so they may
measure what products are selling well, and what isn’t selling so well, so therefore they can
see what the public wants from Tesco, and what they don’t want, so Tesco can measure
these shopping habits and therefore see what they can market to the customer more
effectively
...

In terms of protecting data, Tesco have several safeguards to ensure that customer data is
protected, as they have firewalls, to ensure hackers can’t access customer data
...
Tesco needs to ensure
that they comply with GDPR (General Data Protection Regulation), otherwise, this may lead
to fines under the Data Protection Act, if there happens to be a breach
...

Moreover, to comply with GDPR, Tesco needs to ensure that they follow the seven
principles of processing data, those being lawfulness, purpose limitation, data minimisation,
accuracy, storage limitation security and accountability
...
