Unit 26: Managing Business Information

D1: Recommend how a selected organisation could improve the quality of its business
information to support decision making

The bakery for example, could use several different methods to improve the quality of their
business information in order to support their decision making
...

Staff Information
Firstly, in terms of staff information, the bakery needs to review current performance of all
their employees in their payroll, so for example, if there were any internal disputes, HR
would have to manage this and they would offer solutions to the employees involved
...
To increase
the quality of this information for HR, I would suggest that for any disputes, the HR team
should log any internal disputes with far more information, as this would affect future
decisions, so they could log the possible cause of the incident, the incident itself, as well as
how the situation was managed and resolved, so then for future references, they can have
better decision making relating to internal incidents, so therefore they can avoid these
disputes in the future, and as a result, this will lead to a much happier workforce in the
future
...
So for example, if in the customer training for example, some
of the staff excel in the training, then the management may tweak their role to make sure
they are interacting with customers more in the bakery, but putting them on the till more
often
...
Moreover, for the staff training, a
detailed report would also be necessary, as they’d want to see if the employee carried out
the training first of all, and also, they may want to review how the training was managed, and
how the employee responded to the training, as the manager may want to get a larger idea
of the strengths and weaknesses that specific employee may have, so either they can work
on the weaknesses in the future, to help the employee become more well-rounded, or
alternatively, they may tailor that employees work day, to ensure that they may not meet
those weaknesses throughout the day, and only focus on their strengths
...
The
person in charge of the payroll, would have to ensure that the money is delivered on time,
and also, if the employee has done more hour through overtime, this money would have to
be accounted for, and therefore would have to be sent to the employee
...
Therefore,
the format of this information could be in an email, as the automated payment, could then
notify the employee when the transaction has gone through, and from there there could be a
breakdown of pay, separating set pay from overtime, so therefore the employee can see
their whole salary broken down, and as a result this will be more efficient, so instead of
pieces of paper being sent to to the employee regarding pay, and more efficient and
economical method is achieved by using email, and therefore this distribution of information
is much more streamlined,

Customer Research
The bakery may have to carry out their own research in the form of surveys, so that they can
gain more information on where they need to improve, so they can gain a better relationship
with their customers, so therefore they can then gain a better experience
...
What the bakey could do is through the loyalty card system they could set up, every
time someone carries out a survey relating to a specific topic (customer service, food quality,
store quality, etc), they could gain points from this system, and eventually, after the customer
has gained enough points, it would contribute to a free hot drink or doughnut, similar to that
of Greggs, so therefore both parties are benefitting, as the bakery will be getting the
customer research they need, to be able to improve, and the customer will benefit by getting
a free drink/food from the bakery, so therefore this system will continue to be successful for
the long term
...
, so as a result the bakery has more information about that
specific aspect of the store, and they will also have better quality information to work with ,
as it will be more detailed, so therefore, the bakery will be able to make more changes to
how they operate according to the feedback they received, so therefore, from changing the
quality of surveys, they will be able to monitor and control store activity more effectively and
enact change according to what the customer wants
...
To view the information, the
results could be in the form of a report/charts, so if for example the survey is in multiple
choice format, then the answers could be broken down in a chart, to see what percentage of
people who chose a specific answer chose that option, so therefore the manager, or
marketing team at the bakery could then view this information, see what people think about
the bakery products and services, and therefore make changes according to the majority
decisions of the surveys
...
For example, if the bakery starts to sell fig rolls for example, they would upload
this item to the stock control system, and the manager of the bakery would then be able to
view how the fig rolls are selling compared to everything else
...
The breakdown of sales could be in the form of a
line graph, so you can see the day-to-day sales of that product, and see both the peak and
trough in terms of sales, so therefore you can see when sales have started to dwindle, and
from here, the manager could make changes to stock and products on display according to
the graph of product sales they have been shown
...
For example, if the bakery where they had meal deal

promotion at lunchtime between Monday to Friday, the manager may then view the stock
count or transactions of Monday to Friday at 12, to see how much of the product they sold
from the time the promotion started to when it ended, and compare this information to when
the promotion isn’t on, the manager would be able to see if the sales figures were superior,
as if the sales figures increased a small amount, then the manager wouldn’t carry out this
promotion again, as financially, it wouldn’t be worth it, however, if the sales figures for the
product doubled or tripled the month of the promotion, the manager would carry on with the
promotion
...
As stated above, the
breakdown of sales should be in the form of a line graph, so you can see the day-to-day
sales of that product, and see when the product has sold best and when sales for the
product have started to decrease, so the manager could see again if the promotion has been
successful overall or not
...
